Background

 

The Event Officer role is based in the Office of the Secretary General (OSG).  OSG acts as secretariat to the EBRD Board of Governors and Board of Directors and their committees and as the official channel of communication between the EBRD and its shareholders. It is responsible for the organisation of the Annual Meeting of the Board of Governors, all meetings of the Board of Directors, other large events organised under the auspices of the EBRD and all protocol matters involving VIPs from shareholder governments.        

Within OSG, this role is responsible for coordinating the event management services.  The role requires expertise in event management and close working collaboration with the Board of Directors, Resident Offices, Board and Institutional Affairs, Administration, Communications, Banking, Business Development and Economics, Policy & Governance. 

 

Purpose of Job

 

Responsible for providing assistance to the Analyst in the coordination, organisation and logistical delivery of all Board and other events internally and externally falling under the remit of the AMPEM unit.

 

The role involves interaction with external venues, technical companies and, internally, the Board of Directors, the Executive Committee, Banking, Resident Offices, Communications, Administration, Business Development and Economics, Policy & Governance. 

 

Accountabilities & Responsibilities

 

  • Manages booking requests via the event booking system in collaboration with the Board Calendar
  • Coordinates the smooth organisational and logistical delivery of all Board and other events, according to the Bank’s policies and protocol;
  • Assist in identifying external venues and coordinates the process of planning and delivery of special events chaired or hosted by the President.
  • Collates and provides detailed budget estimates for events.
  • Liaises with and advises event technicians in relation to details for all of the events.
  • Under the supervision of the Head of AMPEM Unit and the Analyst assists with VIP Visits to Headquarters.
  • Assist in recruiting, training and managing a team of Meeting Room Attendants to cover the Internal Events.
  • Assist Analyst with purchasing and distribution of Corporate Gifts
  • Manages the day-to-day events and any event queries at HQ whilst the AMPEM Unit are onsite for the Annual Meeting
  • Maintain statistical data

 

Knowledge, Skills, Experience & Qualifications

 

  • Minimum of two years relevant professional experience in organising large-scale events;
  • Good knowledge of international financial institutions an advantage but not essential;
  • Strong project management and budgeting skills;
  • Excellent organisational and administrative skills;
  • Excellent interpersonal skills
  • Good understanding of the EBRD mandate;
  • Excellent communication skills in English, written and spoken. Knowledge of other official languages of the EBRD would be an advantage;
  • Computer literacy including knowledge of Internet and in particular Excel and graphics package, Visio or similar;
  • Familiarity with audio/visual possibilities an advantage but not essential;
  • Accuracy and attention to detail essential.
