Purpose of the Job
Reporting to the Principal, Annual Meeting Event Management, the Event Assistant will support the planning and delivery of the EBRD Annual Meeting and Business Forum events, and corporate events led by the Event Management team in the Bank’s Headquarters in physical, hybrid, or virtual formats. The role involves supporting the coordination of the full institutional and Business Forum programme of the Annual Meeting as well as day-to-day event operations, such as Board meetings, signing ceremonies, conferences and award held at the Bank’s HQ.
This role offers hands-on experience in international event operations, logistics coordination, content programming, and stakeholder engagement, within a dynamic, high-profile environment.
Accountabilities and Responsibilities
Under the supervision of the Principal, Annual Meeting Event Management:
- Assist the Events Team in the overall coordination and delivery of the Annual Meeting and Business Forum and the corporate events programme
- Provide administrative and logistical support before, during, and after events (reporting, feedback collection, documentation)
- Administrative support and contribution to events delivery, including developing spreadsheets, Microsoft forms, drafting and sending emails, live communication with multiple stakeholders, maintaining statistical records
- Update all relevant documentation in collaboration with internal departments (catering, AV, communications, security, IT, interpretation, protocol) and external suppliers to ensure smooth event execution
- Set up event spaces and monitor delivery in close cooperation with senior members of the Event Management team
- Support live events delivery
- Coordinate temporary meeting room attendants
- Participate in team meetings and briefings to track progress and ensure alignment across workstreams
- Contribute to data, content creation and updates for the Annual Meeting website, including drafting session descriptions, speaker profiles, news items, bios
- Update speaker information in the Annual Meeting registration platform
- Respond to participants’ enquiries and manage the dedicated Annual Meeting mailbox
- Handling enquiries and escalating to Annual Meeting Principal if required
Skill, Knowledge, Experience and Qualifications
- Exposure to an international, professional working environment
- University degree or equivalent
- Fluency in English (written and spoken) required and verbal communication skills; knowledge of other official EBRD languages is an asset
- Strong interpersonal skills; comfortable liaising with diverse stakeholders
- Excellent organisational skills, and multitasking abilities with strong attention to detail
- Proactive, adaptable, and able to perform well under pressure in fast-paced environments
- Ability to assimilate information quickly and follow instructions precisely
- Calm under pressure with a positive attitude with a willingness to support
- Computer literacy, including proficiency with Microsoft 365; familiarity with event management platforms or website backends is an asset
- Good knowledge of international financial institutions and international relations
